Quick answers
- How much is a typical Umrah deposit?
- It varies. Quotes commonly ask for a fixed per-person deposit or a percentage of the price, often higher for Ramadan, and some require full payment at booking. Your quote should state yours in writing.
- Why are some Umrah payments non-refundable?
- Visas, many hotel rates in Makkah and Madinah, and airline tickets once issued are often non-refundable to the agency, so the agency cannot refund them to you.
- Am I entitled to a refund if the airline cancels?
- For flights to and from the United States, the U.S. Department of Transportation requires refunds when an airline cancels or significantly changes a flight and you choose not to travel. That covers the ticket, not hotels.
- Should I buy travel insurance?
- For most Umrah trips, yes, at or soon after your deposit. Check cover for cancellation, interruption, medical evacuation and pre-existing conditions.
Before you pay for Umrah, get four things in writing: the deposit amount, the payment schedule, the cancellation terms and the change terms, each broken down by flights, hotels and visa where possible. Parts of most Umrah trips become non-refundable early, because the agency has already paid suppliers who will not refund it. Understanding that before you pay avoids most disputes.
This guide explains how terms commonly work across the industry. It is general information, not Safa Rihla’s policy; our own terms are stated in each written quote.
Before you pay anything: the U.S. Department of State currently rates Saudi Arabia Level 3, “Reconsider travel.” Read the current travel advisory, enroll in STEP, and choose travel insurance that covers medical evacuation and trip disruption.
How Umrah payments usually work
- Quote: dated, with a validity period. Prices can change until you pay.
- Deposit: holds seats and rooms. Often required to start visa processing.
- Balance: due by a set date before departure, commonly several weeks.
- Documents: visa, tickets and hotel vouchers are issued once paid.
What quotes commonly say:
| Term | What quotes commonly say |
|---|---|
| Deposit | A fixed amount per person or a percentage of the price, often higher for Ramadan; some require full payment at booking |
| Balance due | Commonly 30 to 45 days before departure |
| Cancellation | Deposit non-refundable once visa or booking processing begins; later refunds limited to what airlines and hotels return; often nothing refundable in the final weeks |
| Card fee | Sometimes a surcharge of a few percent for credit cards |

Why parts of a trip are non-refundable
- Visas: once applied for, the fee is not normally refunded, whatever the outcome.
- Hotels: many Makkah and Madinah rates, especially for peak dates, are prepaid and non-refundable to the agency.
- Group airfares: group seats often carry deposits that the airline keeps if names are not filled.
- Issued tickets: refundable only under the fare’s rules or the airline’s legal obligations.
A fair agency will tell you which parts become non-refundable and when, and will pass on any supplier refund it receives.
U.S. airline refund rules
The U.S. Department of Transportation explains when airlines must refund tickets for flights to, from and within the United States, including when the airline cancels or significantly changes a flight and you do not accept the alternative. If your flights are part of a package, ask the agency how it handles those refunds. These rules protect the ticket only, not hotels or the visa.
Travel insurance
- Buy it close to your deposit date, because some benefits depend on early purchase
- Check trip cancellation and interruption, medical evacuation and repatriation
- Check pre-existing condition rules for older travelers
- Check whether travel advisories or regional conflict are excluded
- “Cancel for any reason” upgrades, where offered, refund only part of your cost
The medical insurance included with the Saudi eVisa is not trip-cancellation cover; see the official eVisa portal for what it includes.
Common terms in plain English
- Non-refundable deposit: the amount you lose if you cancel, usually because it has already been paid to suppliers or used for the visa.
- Balance due date: the date the rest is owed. Missing it can let the agency cancel your booking.
- Cancellation schedule: how much you get back depending on how long before departure you cancel.
- “Refunded to the extent recovered”: you get back only what the airline and hotels return to the agency, which may be little or nothing for peak dates.
- Name change: replacing one traveler with another; often impossible once tickets and visas are issued.
- Force majeure: events outside anyone’s control, such as conflict or official closures. Read what the agency does in that case.
- Price validity: how long a quote holds before it must be re-priced.
If your plans change
- Tell the agency in writing as soon as you know, because refund amounts often depend on the date of notice.
- Ask which parts of the trip are still refundable or changeable.
- If the airline cancelled or changed the flight, ask about your refund entitlement.
- Start any insurance claim promptly and keep every document and receipt.
Checking the agency
- Get a written quote with the company’s legal name and address.
- Some states regulate travel sellers. California, for example, requires sellers of travel to register; the California Attorney General explains the rules.
- Be cautious with anyone who guarantees a visa or a Rawdah appointment, or asks for cash only.
- Pay a business account, never a personal one, unless you know the agency well.

Group departures vs custom trips
Scheduled group departures usually have fixed deadlines and stricter terms, because the operator has committed to blocks of seats and rooms. Custom trips often follow each supplier’s own rules more closely, which can mean more flexibility on some items and less on others. Ask for the terms that apply to your type of booking.

Frequently asked questions
Can I pay a deposit before my visa is approved?
Often yes, because hotels and flights must be held first. Ask what happens to your money if the visa is refused, and get the answer in writing. No agency can guarantee a visa.
Is paying by credit card safer?
Credit cards can offer dispute rights if services are not provided, but some agencies add a card fee. A few percent is common; ask before you pay, and compare it with the protection the card gives you.
What if the agency changes my hotel?
Check the substitution clause. A fair term names the standard and distance of any replacement and explains what happens if you do not accept it.
What if I need to change dates rather than cancel?
Ask for change terms separately from cancellation terms. Changes may be possible for a fee, depending on the airline fare and hotel rates.
What are Safa Rihla’s terms?
Your deposit, payment schedule and cancellation terms are stated in your written quote before you pay anything. Ask your specialist about any term that is unclear.
How are deposits, cancellations and refunds handled?
The deposit, payment schedule, cancellation charges and refund terms for your trip are set out in your written quote before you pay anything, so you can review them first. They follow the rules of the airlines and hotels in your booking, and some parts, such as ticketed airfares and some hotel rates, may be non-refundable. Our guide to deposits, cancellations and refunds explains how these usually work.
Is visa approval guaranteed?
No. Only the Saudi authorities decide visas and Umrah permits, and no agency can promise approval or a specific processing time. Most delays come from mismatched names, expiring passports or incomplete details, so double-check them before you submit. Avoid non-refundable bookings you cannot afford to lose until your visa is issued, where the timeline allows.
What happens if I cancel my package?
Tell us in writing as soon as you know, and the cancellation terms in your written quote then apply. What can be refunded depends on how close you are to departure and on the airline’s and hotels’ own rules; some fares and hotel rates are non-refundable once booked. Travel insurance with cancellation cover may protect you against costs you cannot recover. Our guide to deposits, cancellations and refunds explains the usual parts.
What happens if my visa is not approved?
Contact your specialist straight away. Depending on the reason, you may be able to correct the details and reapply, apply for a different visa type, or change your dates. What happens to amounts already paid depends on which parts were booked and their terms, as stated in your quote; this is a good reason to apply for the visa as early as your dates allow.
